Help & User Guide
Everything you need to get the most from your AI receptionist — your number, your minutes, your plan, and your leads. Most of it runs itself; this is here for when you want to take the wheel.
When you activate, HelloAssist sets up a dedicated business phone number answered 24/7 by your AI receptionist. It greets callers, answers questions, captures the lead, and emails you a summary the moment the call ends.
Your welcome email and your dashboard both show your dedicated assistant number. To go live, forward your existing line to it. There are two ways to forward, and they behave differently:
| Every call | Only calls you miss Recommended | |
|---|---|---|
| Your phone | Never rings — the assistant answers everything. | Rings first, like always. |
| Best for | After hours, vacations, "I never want to answer cold calls." | Normal business days — you answer when you can. |
With "only calls you miss" set up, here's where every call ends up:
| What happens | Without HelloAssist | With forwarding set |
|---|---|---|
| You answer | You talk | You talk — the assistant stays out of it |
| It rings and you can't get to it | Voicemail | Your assistant answers |
| You're on another call, or you hit decline | Voicemail | Your assistant answers |
| Phone off or no signal (optional third code) | Voicemail | Your assistant answers |
Setting it up: open your dashboard → Agent tab → 📞 Set up forwarding. Pick your phone company and it gives you the exact codes to dial for each mode — and the codes to turn each one off.
Sign in anytime at myhelloassist.com/dashboard with your email — we send a 6-digit code, no password to remember. Your dashboard shows:
After every call, HelloAssist emails you a lead notification — the caller's name, their number, and exactly what they needed — so you can call or text them back before they call the next business.
Everything also lands in your dashboard under Recent calls & leads. Tap Call or Text right from the row to follow up.
Your plan includes a set number of answering minutes each month (a typical call is about a minute and a half). Two things worth knowing:
Busy month? Top up in seconds — no plan change required.
Top-up minutes are priced at your plan's reload rate and they roll over just like your monthly minutes.
| Plan | Reload rate | 50 min | 100 min |
|---|---|---|---|
| Starter | 27¢/min | $13.50 | $27.00 |
| Professional | 25¢/min | $12.50 | $25.00 |
Every plan includes a dedicated number, 24/7 answering, spam & robocall screening, call & lead summaries, a chat log, a custom prompt, and priority support. Unused minutes roll over.
| Plan | Price | Included minutes | Best for |
|---|---|---|---|
| Starter | $39/mo | 160 min (~107 calls) | Getting started |
| Professional | $99/mo | 420 min (~280 calls) | Growing businesses |
| Flexible | 23¢/min | Unlimited, pay per minute | High call volume |

You can cancel anytime from your dashboard → Plan & minutes → Cancel subscription. No phone calls, no hoops.
Your receptionist is bilingual in English and Spanish. If a caller speaks Spanish — even switching mid-call — it recognizes that and responds in Spanish, then continues in whichever language the caller prefers. More languages are on the way.
No. They just call your number like always. There's nothing for them to download.
You can buy more anytime, and overflow calls forward to your own phone so a call is never dropped.
It captures the request and the details. Live booking into your calendar or software is available as an add-on — ask us.
Yes — it recognizes telemarketers and robocalls, politely declines, and doesn't waste your time with them.
